Privacy & Data Security
Is our correspondence secure & encrypted?
+Yes. All correspondence is secured using industry-standard Transport Layer Security (TLS). We can also communicate via WhatsApp, Signal, Proton Mail, or physical transfer (USB/hard drive) — whatever your security requirements demand. We work with each client to meet their specific data handling needs.
Is my matter kept confidential?
+Yes. All staff are bound by strict confidentiality obligations as a condition of their engagement with the firm. We do not discuss, reference, or disclose any client matter — or the existence of any client relationship — to third parties under any circumstances. Client materials are stored securely on our private infrastructure in Grand Cayman and are not shared outside the firm. For engagements where formal documentation is required, we are happy to execute a non-disclosure agreement prior to commencement of work.
Where is our data stored?
+All client data is stored on our private infrastructure in Grand Cayman. We retain a copy of your transcripts and related materials for 90 days following delivery, after which they are permanently deleted. If you require deletion before that period, simply let us know and we will action it promptly.
Do you have a secure platform for file uploads?
+We work with whichever transfer method your firm already uses — Google Drive, Microsoft SharePoint/OneDrive, Dropbox, Proton Mail, WhatsApp, Signal, or physical storage. If your firm has specific platform requirements or security protocols, we will accommodate them.
Transcription Services
Is there a minimum duration required for transcription?
+No — we accept recordings of any length. That said, we do prioritise larger and bulk orders when scheduling, so if you have a time-sensitive short recording, it's worth flagging that in your enquiry.
How do I submit audio or video for transcription?
+Simply contact us via the form on our website or by email, and we will confirm the most suitable transfer method for your materials. We accommodate a wide range of formats and file sizes.
What audio and video formats do you accept?
+We accept all common audio and video formats, including MP3, MP4, WAV, M4A, AAC, and MOV, among others. If you are unsure whether your format is supported, please get in touch before submitting.
How is turnaround time calculated?
+Turnaround time runs in business days (Monday to Friday, excluding Cayman public holidays) and commences from whichever is the later of two conditions: your acceptance of our quote, and our receipt of your materials. For example, if you accept a quote on Monday but deliver your audio on Wednesday, a 5-business-day turnaround would be due the following Wednesday. Please also note that materials received after 11:00 am (Cayman Islands time) are treated as received on the following business day. For example, audio delivered at 11:30 am on a Monday on a 5-business-day turnaround would be due the following Tuesday. We will always confirm the expected delivery date once both conditions have been met. Rush orders are accommodated where capacity allows — contact us to discuss.
Do you charge different rates for poor audio quality?
+Yes, poor audio quality can certainly affect our pricing. In some cases we may ask for an audio sample before providing a quote. We reserve the right to adjust or rescind a quote if the audio quality is too poor to deliver an accurate transcript.
What should I do if I find an error in my transcript?
+We provide every client with the opportunity to review the first draft before final delivery. If you identify any issues — whether due to inaudible sections, crosstalk, background noise, or any other cause — simply return a marked-up copy or written instructions and we will verify and correct them promptly at no additional charge.
Can I request a specific format for my transcript?
+Yes. We can work to client-provided templates or style guidelines. Please include any formatting requirements when submitting your enquiry.
Do you provide captions or subtitles for videos?
+Yes, we offer subtitles and closed captions in VTT, SRT, and TSV formats.
Do you offer timestamps in transcripts?
+Yes, timestamping is available on request. Please mention this when submitting your enquiry, as it affects turnaround time and pricing.

Do you use any kind of software or AI to assist in your transcription?
+Yes. We use a proprietary neural network developed entirely in-house and fine-tuned on a custom dataset built from over 100 hours of carefully curated audio. Unlike providers that rely on third-party cloud-based transcription services, all processing takes place on our private infrastructure in Grand Cayman. Your data never leaves our hands. Technology improves consistency, efficiency, and reduces human error — but it is not infallible. Every transcript we produce undergoes rigorous review by experienced human professionals and must pass our internal quality assurance standards before delivery.
Can you integrate transcription or language services into our existing workflow?
+Yes. We offer consulting and implementation support for firms looking to incorporate transcription, translation, or document processing capabilities into their internal workflows. Whether you need a simple automated pipeline for routine recordings or a more tailored integration with your existing document management or case management system, we can advise on the right approach and assist with setup.
Do you license your transcription technology to third parties?
+We are open to licensing and custom deployment arrangements for firms that wish to bring transcription or document processing capabilities in-house. This includes access to our transcription engine, custom model fine-tuning for your specific domain or audio environment, and ongoing technical support. Can your technology be fine-tuned for our specific use case?
+Yes. Our transcription model can be further fine-tuned on domain-specific audio and terminology — for example, a particular court's proceedings, a firm's internal meeting style, or a specialist area of law or finance. This improves accuracy for recurring content types and reduces review time. Contact us to discuss whether a custom fine-tuning arrangement would be appropriate for your volume and use case.
How do you handle audio or video files that are too large to send by email?
+Large files can be transferred via any secure cloud platform your firm already uses — Google Drive, Dropbox, SharePoint, and similar services are all suitable. We can also arrange physical transfer via encrypted USB or hard drive for particularly sensitive or large-volume matters. If your firm has a preferred secure file transfer protocol, we will work within it.
Pricing & Payment
What payment methods do you accept?
+We invoice following completion of each engagement, with payment due within 21 calendar days of the invoice date. Bank transfer is our standard method. Alternative arrangements can be discussed on a case-by-case basis.
How do you calculate pricing for a project?
+Our transcription rates are based on the duration of the audio, the number of speakers, the level of verbatim detail required, and your turnaround timeframe. Full rate guidelines are published on our pricing page. For translation, interpreting, and other services, we provide a personalised quote based on the specifics of your project.
Do you provide quotes before starting work?
+Always. No work begins without a confirmed quote. For transcription, we can usually provide a quote within one business day of receiving your enquiry and audio sample where relevant.
Do you offer discounts?
+Yes. We offer bulk discounts for orders exceeding 20 hours of audio on a standard (non-expedited) turnaround. Discounts may also be considered for ongoing or retainer arrangements. Contact us with the details of your project and we will do our best to accommodate you.

+Yes. We are happy to execute an NDA prior to commencement of any engagement where confidentiality requires formal documentation. Please raise this at the point of enquiry and we will arrange it before any materials are shared.
Can you work to our firm's specific style guide or transcription conventions?

Do you offer ongoing or retainer arrangements?
